Games Masters General Hire Terms and Conditions 1.General Terms and Conditions a. it is the responsibility of the person who is hiring the Games Masters Gaming Trailer, to ensure that all of the following safety instructions are adhered to in order to avoid injury or possible damage to the equipment.   b. Food and drinks are restricted and not allowed inside the trailer during the incursion unless included in the package hired. c. Do not allow any substances to come into contact with the equipment. This includes face paint, bubbles, liquids, drinks etc. d. Games Masters has a zero-tolerance policy against abuse be it verbal or physical. e. A responsible adult must always supervise the children. f. Games Masters acknowledge general wear and tear, but all damages caused through misuse or negligence, will be charged g. Games Masters is not to be held liable for any injury incurred whilst in operation, in relation to the company’s liability documentation. h. The hirer is responsible for any damage to the equipment or missing items, Any repairs needing to be made due to damage are to be paid for by the hirer within 30 days. i. Full Payment to is due within 28 days of the invoice date 2. Age-Appropriate Music: Silent Disco and Games Music and games provided are suitable for children of all ages, other music for mature audiences is available on request, for parties our games guru’s will contact you to discuss music options. Music is tailored for age-appropriate play and entertainment. 3. Music Updates: (Silent Disco) a. Music headphones are checked for music updates regularly, and checks are made for appropriate language and content. b. No liability is accepted if music requires an update during play. 4. On-Site Arrival: a. The Games Masters team will arrive 30 minutes to one hour before your booking time, to set up (please allow access) b. The Games Masters Team will require a minimum of one power socket for charging and music for Silent Disco and 2 power sockets for the gaming trailer. c. If there are any delays during set up and start time, time will be added to the finish time. Games Masters are not liable for the venue not being ready to engage in the event, at the booked time.   5. Hygiene and Cleanliness To ensure the health and safety of all our customers and staff, Games Masters has implemented thorough sanitising procedures. All equipment and headphones are sanitised between sessions and bookings. If any children show signs of being unwell, please notify staff immediately. 6. Setup a. Hirer must provide safe access to and from the site. See site access and space requirements for gaming trailer. b. Games Masters and its employees are not responsible for any damages to property while entering, setting up, being onsite or leaving the event. All care taken but no responsibility given. c. Items are NOT to be removed from the site address. 7. Alcohol, Drugs and Smoking a. You’re welcome to serve alcohol at your event, but just a heads-up—we won’t allow anyone who’s visibly intoxicated into the trailer. As for drugs, we have a zero-tolerance policy. Any illegal drug use (or misuse of legal ones) will shut the party down immediately. b. Smoking’s not allowed in or around the gaming trailer. If you or your guests need to smoke, please do it well away from the setup. 8. Severe or Inclement Weather Our GameMaster trailers are built to handle all kinds of weather—they’re insulated and fully climate-controlled with reverse-cycle air conditioning. But sometimes Mother Nature just doesn’t cooperate. If there’s extreme weather like lightning, strong winds, flooding, or super heavy rain, we reserve the right to reschedule to keep everyone (and our gear) safe. We’ll always put safety first. If you know bad weather is on the way (like a big storm or cyclone), please reach out to us as soon as possible so we can work with you to discuss and if needed, reschedule. 9. Bookings, Deposits & Cancellations: a. The following deposits are applicable within 3 days of confirmation email being sent i. Gaming Trailer - $200 ii. Gaming Van - $200 iii. Lego Trailer - $200 iv. Peddle Karts - $200 v. Paint & Sip - $200 vi. Silent Disco - $200 viii. Backyard Games - $200 b. The balance due date is 7 days prior to Party Date. c. If balance is not received by due date, the booking may be cancelled and no refund of depost given 10. Cancellations: If you need to cancel, then please let us know as soon as possible as the following fees apply to any deposit paid. 100% of deposit is refunded up to 1 month prior to the event date 50% of deposit is refunded 3 weeks prior to the event date ZERO deposit is refunded if cancelled 2weeks prior to the event date a. Late payments will incur a 5% additional fee. 11. Retention of title The Hirer acknowledges that is a mere bailee of the items and agrees that: (a) the hirer has no right or claim to any interest in the items; (b) the hirer cannot claim any lien over the items; (c) the hirer will not create any third party interest in the items except as may be authorized by Games Masters; (d) title to and in the items will remain with the Games Masters team at all times and even if the items are intermingled, attached to or become part of other items; and; (e) any accessory or item which accedes to any of the items by any act of the hirer or another person becomes and remains the property of the Video Game Parties. 12.I indemnity Hirer agrees to defend, indemnify, assume liability for and hold Games Masters harmless from any and all claims, demands, damages, losses, suits, proceedings, penalties, expenses or other liabilities including attorney fees and court costs, arising out of or resulting from the use of the Equipment, regardless of the basis. 13. Damage / Injury a. If you ask us to park the trailer in a specific spot, we’ll do our best—but we can’t be held responsible for any damage to things like driveways, lawns, or underground stuff. b. Also, if any of our equipment or the trailer gets damaged because of careless or intentional actions by you or your guests, we may charge the repair costs to your credit card. c. Lastly, we can’t take responsibility for any injuries that happen on your property or chosen location. Any damage or injury that occurs is the responsibility of the party host. 14. Privacy Policy At Games masters, your privacy is super important to us. We only collect the info we need to help you book your event—nothing more. Our goal is to keep things easy and enjoyable for you. Don’t worry—we’ll never sell, trade, or share your personal info with anyone else. 15. Pictures - Kirsty or stacey to rewrite a. During your party, Games Master’s may take photos of the players and party. These photo may appear on our social media pages and/or website. We will endeavour to take them in a way that avoids faces being shown however this may not always be the case. b. PHOTO RELEASE FORM tba c. Photos taken in public places are not subject to restrictions d. If you’d prefer we don’t take or share photos of your child, please let the Games Masters team know on the day 16. Substitution of hire items Games Masters reserves the right to replace hire items with a suitable substitute in the event of unavailability or if we believe the item originally designated for hire is deemed unfit. 17. Amendments Games Masters reserves the right at any time, to modify these terms and conditions to suit the changing business needs. As soon as the changes are posted and visible on our website, the amended terms and conditions are effective. It is the responsibility of the customer to regularly review the terms and conditions outlined on this website.
